How Far in Advance Should You Book a Game Truck?

Four to six weeks ahead is the comfortable window for a weekend party. If your date lands in the spring or early summer, aim earlier — those Saturdays are the first to go. Winter and weekday dates are far more flexible, and last-minute bookings do sometimes work, but they work on our calendar's terms rather than yours.

Every date we run is first come, first served. There is no waitlist trick and no way to bump someone who booked before you. So the honest answer to "how far ahead" is simply: as far ahead as you can decide, because the earlier you commit, the more likely you get both the day and the time you want.

Why Time Slots Matter More Than Dates

Parents usually think about the date. The constraint is actually the slot. One trailer can only be in one driveway at a time, and the good slots — early afternoon on a Saturday — are the ones every family wants. Plenty of Saturdays still have an opening at 10am or 5pm long after the 1pm slot is gone.

If your kid's party has to be at 1pm on a Saturday in May, that is the booking you want to make early. If you are flexible about the hour, you have far more room than you think.

Season by Season

Spring and early summer (April–June)

The busiest stretch of the year across Chicagoland. Birthdays stack up with communions, graduations, block parties and school field days, and towns like Orland Park, Tinley Park and Naperville all run their community events in the same window. Book six to eight weeks out for a weekend date in this period, and earlier if it is a graduation open house where the date is locked by a school calendar.

Mid and late summer (July–August)

Still busy, but slightly easier than May. Four to six weeks is usually enough. Company picnics and park district events start competing for the same Saturdays — see game trucks for corporate and team events.

Fall (September–November)

A good, underrated window. School fundraisers and fall festivals take some weekends, but three to four weeks of lead time generally lands the slot you want.

Winter (December–March)

What Locks Your Date In

Choosing a date on the booking page starts the process: you pick the party type, the date and the time, we verify availability, and a card deposit holds the slot. The balance is due the day of the party, payable by cash, bank check or money order — not personal check. Nothing is actually reserved until the deposit is in, which is worth knowing if you are the kind of planner who likes to think about it over a weekend.

Booking Late: When It Actually Works

Short-notice bookings happen more often than you would guess. They work best when:

• You are flexible on time — taking whatever slot is open that day.
• Your date is a weekday, or falls outside the spring rush.
• You are close to home base in the south and southwest suburbs, so routing is simple.
• You call rather than only submitting a request, so we can talk through what is left on the calendar.

What does not work is a specific Saturday afternoon in May requested ten days out. That slot was gone in March.

Changes, Cancellations and Weather

Life happens, so know the terms before you commit rather than after. A $125 cancellation fee applies when you cancel two or more weeks out; inside two weeks the full price is charged. We would much rather reschedule than cancel, and we try to move a date with no penalty whenever the calendar allows — especially for genuine Chicago weather situations.

Because the trailer is self-powered and enclosed, rain and cold rarely force a change at all. The plans that do get adjusted are usually outdoor GellyBall parties, and those are easier to shift than to cancel.

A Simple Rule of Thumb

1. Six to eight weeks for a spring or early summer weekend, or any fixed-date group event.
2. Four to six weeks for a typical weekend party the rest of the year.
3. Two to three weeks for winter dates or weekday parties.
4. Any time is worth a call if you are flexible on the hour.
